Memos are generally written to solve problems by informing the reader about new information or by persuading the reader to act. For Engineers and scientists’ memos are used broadly, from making requests to giving announcements and communicating reports.
You are to write a memo to the president of City College, Dr. Vincent Boudreau,
addressing a problem on campus. This problem can be related to renovating or
improving areas of the campus (cafeterias, dorms, classrooms, parking, etc.). Be
creative. The idea is to define a problem and offer a specific solution to address this
problem. Remember, the president does not know about this specific problem so you
will have to provide the context. Important details can be bulleted for easy reading. No
cost estimates are required for this memo. It will be a memo that requires a follow-up
meeting for further discussion.

Subject: Paper Towel Dispenser Malfunction
Purpose:
The purpose of this memo is to inform you about the issues regarding the Paper Towel dispenser malfunction within the college. I would like to speak with you and get some administrative assistance.
Summary:
The college is facing many issues regarding the malfunctioning of the paper towel dispensers. The paper towel dispensers in the restrooms are not dispensing properly, which is causing inconvenience to the student body and may end up effecting their college experience. I propose to be having routine inspection of the paper towel dispensers to ensure the safety and convenience of all the students.
Discussion:
The paper towel dispensers have not been functioning properly. The dispensers have been jamming frequently and are failing to dispense paper towels properly. I personally have seen this issue in the North Academic Center and Shepard Hall. These have an impact on the student body, causing unsanitary conditions. This can cause students to use other drying methods, which may prove to be less effective in removing the germ, leading to them getting sick. I myself have seen many of my friends having no choice but to dry their hands using their clothes, which is very uncomfortable and unhygienic and causes sickness, like I stated before, which may further affect their class attendance and studies.
The malfunctioning of the dispenser also causes inconvenience to the students; being unable to dry their hands may lead to discomfort that may, in the long run, end up effecting their overall college experience. Although this issue is not an everyday occurrence, it is still happening to the point of being noticed by much of the student body. If this issue is not sorted out, it may end up affecting the college’s image by not maintaining hygienic standards.
To address the paper towel dispenser malfunction, I recommend conducting routine inspections to take care of any issues like clogs, etc. We should also have stocks of paper towels and make a schedule that helps keep track of when to restock, further helping to prevent any disruptions. Educating the users on the proper use of paper towel dispensers may also prove useful, as it will reduce the chance of the dispenser malfunctioning.

The college is facing many issues regarding the malfunctioning of the escalators and the paper towel dispensers. The Escalators having been breaking down frequently, while the paper towel dispensers in the restrooms are not dispensing properly. I propose to have regular Maintenance checks by the technicians to make sure the escalators are working, while also having routine inspection of the paper towel dispensers to ensure the safety and convenience of all the students.
Discussion:
The escalators have been breaking down more and more frequently. This was a problem before I started my first semester, and as of now, I am currently in my second semester. The issue has been mainly seen in the North Academic Center (NAC). This is impacting all students and faculty. Normally, when the escalator breaks down, one side is closed off, leading to all the students using the other side, which results in traffic and can cause students to be late to class. The escalators are breaking down at least once a week, and it takes 3-5 days for them to start running again. There has been a case where it took more than a month or two months before the escalator was running again. Fixing this issue is needed as soon as possible to prevent unnecessary traffic and lateness to class.

To address the escalator malfunction, I recommend that we have regular maintenance checks along with some minor repairs. The best way to do that is by training the staff responsible for the escalators on some basic repair tasks, which can help reduce time and cost. Another way to fix this issue is to replace the necessary or important parts and explore some more cost-effective options, like aftermarket parts.
By implementing these recommendations, we can help address the issues relating to the escalator and paper towel dispenser malfunction, while also enhancing the college facilities and creating a better overall college experience for the students.
